This Privacy Policy explains how Optivise FZ-LLC and our affiliates (collectively, "Optivise," "we," "us," or "our") collect, use, disclose, and protect information in connection with our websites, platform, mobile applications, APIs, and related services (collectively, the "Service"). This Policy is incorporated by reference into the Optivise Terms of Service.
We are committed to safeguarding your information. We do not sell personal data. We store customer data on a secure private cloud and process personal data in accordance with applicable laws, including the UAE Federal Personal Data Protection Law (PDPL), the EU/UK GDPR, and relevant US state privacy laws and other regional laws identified in Section 15 (Regional Disclosures).
1. Scope, Roles & Key Contacts
Who this applies to. Visitors, account holders, organizational users, and anyone who accesses or uses the Service.
Roles. For account, billing, support and service-operations data, Optivise is a controller. For personal data contained in User Content (data you or your organization upload or generate inside the Service), Optivise acts as a processor on behalf of the customer (controller) and processes data under the customer's instructions and our agreements.

2. Information We Collect
We collect information directly from you, automatically through the Service, and from third parties.
2.1 Information you provide
- •Account & Profile. Name, email, password, organization, role, industry, preferences, communications.
- •Billing. Payment instrument tokens, billing address, VAT/Tax IDs (processed via PCI-compliant processors).
- •User Content. Prompts, files, datasets, documents, chat transcripts, settings, and other content you submit or generate.
- •Support & Feedback. Requests, attachments, survey responses, product reviews.
2.2 Information collected automatically
- •Usage & Logs. IP address, device/OS/browser data, timestamps, pages/features used, performance diagnostics, error logs.
- •Telemetry & Metadata. Token counts, model/engine parameters, rate-limit events, API call metadata, feature toggles.
- •Cookies & Similar Technologies. Cookies, local storage, SDKs, and pixels to operate, secure, remember preferences, and improve the Service.
2.3 Information from third parties
- •SSO/Identity Providers. Basic profile and authentication info.
- •Vendors/Partners. Analytics, fraud prevention, payments, email/SMS providers.
- •Public/Enterprise Sources. Business contact info or content when you enable integrations.
3. AI Assistant & Excel Add-in Data Handling
Our AI assistant — including the Optivise add-in for Microsoft Excel — lets you ask questions about, edit, and analyze your spreadsheets and uploaded documents. This section explains where that data is stored and which third parties it is shared with so you can make an informed decision before using these features.
3.1 Document uploads & processing
- •Cloud storage. Files you upload (for example, PDFs, spreadsheets, and other documents) are stored in cloud object storage (Supabase Storage) so the assistant can access them and so you can return to your work.
- •Temporary compute sandbox. To extract and analyze the contents of uploaded files, we may process them in an isolated, temporary compute sandbox (E2B). This sandbox is provisioned for the task and torn down after use.
3.2 AI processing & third-party providers
To generate responses, the assistant transmits the relevant spreadsheet content and uploaded documents you share with it to third-party AI providers. We use these providers solely to deliver the requested functionality.
- •AI model provider. Anthropic (Claude) is our primary AI model provider and receives the content needed to produce responses to your requests.
- •Optional external-data features. If you use optional features such as web search or external data lookups, your queries may be sent to additional providers, including Google and Tavily, to retrieve results.
3.3 Chat history, retention & deletion
Conversations and the outputs generated by the assistant are retained so we can provide your chat history and let you continue prior work. You can review your conversations within the Service and request deletion of your data — either in-app or by emailing support@optivise.app. We will action verified deletion requests in accordance with the rights and timelines described elsewhere in this Policy and applicable law.
